We are not an island, and outsourcing is one of the best things you can do for our businesses! So you've hired a VA, a developer (that's me! 😀) and a social media manager, and now you need to share a login with someone outside your immediate team.

It's time to talk about the do's and don'ts of password sharing!

👩‍💻 Set up a separate user where you can

The cleanest option is to add your developer as their own user where possible. Most tools will support this and even give you the extra option to decide access level needed as full admin access is not always necessary. It also means you can revoke access without changing all your passwords when a project wraps up.

But I'm also realistic and I know adding $$$ to your monthly subscriptions for an additional user isn't always on the cards.

🔐 Alternatively, use a password manager

Where password sharing is unavoidable I would always recommend using a Password Manager to securely share your business secrets!

A few I would recommend are:

1. ​1Password (paid, and what I use day to day)
2. ​Proton Pass (free up to 2 people)
3. ​Bitwarden (free sharing up to 1 person)

Another popular Password Manager is LastPass. However they have had several leaks over the years, so right now, I would personally steer clear. Always do a quick Google (or Ecosia) search before you settle on any password manager, as the landscape does change.

And the things to avoid (some of which I've absolutely done 🤪)

1. Sharing passwords via WhatsApp, email or on project boards like Asana or Trello
2. Using the same password across all your systems
3. Relying on a password manager with a history of leaks
4. Using the same password for your password manager as everything else - it should be unique!
5. Sharing every login by default - only share what's actually needed for the work
6. Sharing screens whilst entering passwords! 😅
